Technical materials

Technical materials are the VTR-cards of the bookable materials so to speak. Their records contain all technical data of the bookable material as well as approval information.

Many of the technical data are crucial to the correct output of the material in the playlist.

The system provides the possibilty of creating a bookable material directly from the technical material. If a material is created from the product record, the technical material will be set up automatically.

General data

General data
  1. Number - unique number of the technical material consisting of prefix and ID (generated by the system on first save)
  2. Reference number - optional textfield for a reference number of the technical material
  3. Identifier - name of the techn. material
  4. Unit - unit for the spotlength, e.g. seconds or frames
  5. Setting - total length of the material
  6. Measured length - this flag is only relevant if respective data are delivered by material imports from 3rd party systems.
  7. Exported - the flag is set once the techn. material has been exported
  8. Material prefix - is usually stored in the client's setup-XML but can be modified manually by the user.
  9. Number - unique ID of the record
  10. Type ID - determines the material type, e.g. trailer, spot, infomercial etc.
  11. Quality - textfield for quality information
  12. Material available in house - if the status is set to "not available", the connected bookable materials are also set to "not available" and are locked for booking.
  13. External number - if the techn. material is assigned to a medium with a non-classic playout, the generated external number is displayed in this grid.
  14. MediaVector - the techn. material and therefore also the bookable material will only be available for the assigned media
  15. MediaCombi - not in use anymore since the availabilty for particular media is determined in the records of the bookable materials
  16. Make Copy - creates a copy of the record. Note: the connected bookable materials are not copied!
  17. Create aggregated materials tapen - several materials can be concluded in an extra record which provides the possibilty of printing labels. The precondition for this transaction is the connection of at least one bookable material to each techn. material.
  18. Create material - creates a bookable material which will be connected to the techn. material
  19. Delivery note - creates a printable delivery note for the material
  20. Material movements - displays an overview of all the movements of the material (for example if it is sent to a 3rd party system)
  21. Music report - creates a music report in which the material's GEMA-information can be entered.

  1. Provider - selection of the customer who owns the product the material is being created for
  2. Location- optional selection of an address if the material is off-site
  3. Brand - optional textfield for a tag on the material resp. the advertised product
  4. Material access - selection of the way the material will be accessed for broadcasting
  5. Provider - storage of information of interface-specific material providers (Adtoox, IMD ect.)
  6. Gema - textfield for information on royalties of music used in the material
  7. GEMA Music Report - selection of a GEMA report. The report contains all copyrighted musical pieces that are used by the material.
  8. Gema frei - if the flag is set, the used musical pieces are non-copyrighted and don't have to be reported to the GEMA.
  9. Producer code - optional textfield for a producer code
  10. Comment - optional textfield for comments or memos on the material

Creation of a GEMA Music Report

Creation of a GEMA Music Report
  1. Creator Company - this is the customer that created the report
  2. Creator Name - name of the user who created the report
  3. Contact Company - in this field the contact company is entered. In case of questions on the report this company can be contacted. Note: the name of the GEMA-report consists of this field's content. If it is left empty, it will be kind or hard to find the report in the selection in the material record.
  4. Contact Name - name of the person who will be available for further questions.
  5. Create Music Item - creates a new position in which the information on one musical piece can be stored.

  1. Composer - name of the composer of the musical piece
  2. Artist - name of the artist who interprets the musical piece
  3. Title - title of the musical piece
  4. Length - lenght of the musical piece measured in seconds

This tab contains information which are usually only relevant if materials are imported from a third party interface, because there are no technical validations by MYDAS. The URL field provides the possibilty to create a link on the material (given there is an appropriate repository on a server).

  1. Internal approval took place - if the flag is set, fields 2 and 3 will be automatically filled on save. The internal approver is always the current user who set the approval-flag.
  2. Internal approver - will be filled with the name of the user who set the approval-flag.
  3. Internal approval on - will be filled automatically with the current date after setting the approval-flag
  4. Received at - selection of the date on which the validator received the material
  5. Forwarded - if the validator forwards the material to another person or company, the date of the forwarding is entered here
  6. Forwarded on - textfield for the name of the receiver
  7. Approval code - textfield for an approval code
  8. Internal approval comment - textfield for comments

In this tab there is an overview of all bookable materials displayed that are allocated to the technical material. If a bookable material is connected to more than one product, all of the material records are enlisted in the overview.
