Users

User records contain data that are relevant for logging in to the system. These records also contain information on permissions and rights the user owns. It is also possible to enable a user record as profile. The rights and permissions of the profile are assigned in rights management.

General data

  1. Login - the name or abbreviation that is used for logging in.
  2. SessionID - this is the ID of the session the user record was saved for the first time.
  3. Password - the initial password needs to be entered here. It will be encrypted after saving the record.
  4. Person - record of the person that is connected to the user. Please note: only user records with connection to a person can be used for login!
  5. From/ To - validity period of the user. Outside the validity period no login will be possible.
  6. Active - the user is enabled for login if the flag is set. If you remove the flag the account will be set to inactive on save an an entry in the userhistory is created.
    Please note: if you deactivate a user via the record of the connected person, the "To"-field will be set to the date of the previous day and the active-flag will be removed.
  7. Function - mandatory selection of a user-function. Please note: each function owns particular rights which override the connected profiles.
  8. Profiles - profiles are user records which are used for more detailed rights distribution. Depending on the user's function it might be necessary to assign certain additional rights via allocation of user profiles. Please check out the manual on rights for additional information.
  9. Homepage - depending on the selected user-function the link to the welcome-page which is displayed after login is filled in.

Password settings

  1. Repeat password - if the password is changed, you mustn't use one of the last n passwords.
  2. Change password after days -  the system will prompt you to change the password on login after n days.
  3. Maximum number of login attempts - number of failed logins.
  4. Maximum login attempts - the account will be locked after n failed login attempts.
  5. Release account after (min) - a locked account will be released automatically for a new attempt after n minutes.

User settings

  1. Lines for masterdata - maximum amount of lines that is displayed on opening masterdata overview. It is still possible to display all lines of the table via context menu of the overview.
  2. Material numbers sorting - set the flag to have the bookable materials ordered by their numbers (field ReferenceNumber = nummerID) in the material selection in the cockpit.
  3. Set table - function is not supported (Jira issue BNF-572)
  4. Program tags - number of characters of the program name that are displayed in the cockpit.
  5. Display styles - selection of styles the menues and modules are displayed in.
  6. Query when saving - ??? MVI-3546
  7. Home menu in groups -  the items that are added to the home menu are grouped by module.
  8. Info-window booking cockpit - selection of the template for the info-box that is displayed in the cockpit. If no selection is made the info-box will not be displayed.
  9. Create new session for second screen login - if you log in with the same account in multiple browser tabs, a new session is created for each login.
  10. Qlik access - the account is enabled for login to Qlik.

Rights management

  1. Maximum bookable length - the user is allowed to book spots up to this length (in seconds). Please note: 0 in this context means that there are no limits.
  2. Cancellation budget (max/leadtime) - maximum budget that can be cancelled in one transaction. Please note: 0 means that the user isn't allowed to cancel any budget!
  3. Cancellation budget (leadtime) - maximum budget that can be cancelled between leadtimes. Please note: 0 means that the user isn't allowed to cancel any budget!
  4. Number of profiles - number of user profiles that are allocated to the account.
  5. User profile - if the flag is set, this user record is used as a profile you can assign rights to.
  6. Valid IP - the user will only be allowed to log in from this IP. But note: if the user is deactivated an invalid IP is filled in and must be removed if you want to re-activate the user. Otherwise login will fail even if the account is reset to active.
  7. Last IP - IP that was used for the last login.

CRM

  1. Sales area - depending on the user's function the selection of a sales area is allowed. If you select a sales area the user will be connected to it as salesperson.
  2. Appointment schedule group/ HP distributor ID - selection of mailinglists that the user will then be allocated to.

View

  1. Language -selection of the language that is used.
  2. Time zone - timezone of the user's country.
  3. Time format - selection of the style that date and time are displayed in.
  4. Set the flag to automatically open records in a pop up.

Attention: to see the effect of a display change, user needs to log and in again!

History

In the record's history all modifications that have been made to the record are logged.
