Mailinglists @

Complementary to masterdata view of mailinglists the tool "Mailinglists @" provides a GUI for creating and modifying mailinglists.

Search for mailinglists

The form works both as input mask and search form. Pushing the "Search"-button starts the search and displays the mailinglists that match the entered criteria.

  1. Name of the mailinglist
  2. Identifier of the mailinglist
  3. Level - selection of the level (e.g. department, position in the company) on which the mailinglist works.
  4. Type - selection of the type of the mailinglist. Types can be defined in CRM control values.
  5. From/To - validity of the mailinglist
  6. Active persons - set the flag to only consider active persons for mailing and in queries.
  7. Description - optional textfield for a description or comments.
  8. Query - queries for dynamic allocations of persons can be created in this field.

If you don't enter any data and start the search, all available mailinglists will be displayed. Outdated and invalid mailinglists are displayed in red font.

In order to search for mailinglists you can use any of the fields as filter on the search. After pushing the "Search"-button the results are displayed in a table below.

The invalid or outdated records are displayed in red font.

Selection of mailinglists

You can either open a mailinglist by clicking on its Number (column "Nr.") or via context menu. The context menu is opened via rightclick on the favoured record in the table and the data are applied to the form once you select option "Selektieren" from the menu.

Special Actions

  1. Search - starts the search
  2. Clear - resets the fields of the form
  3. Save - saves the record
  4. Refresh - reloads the record. Unsaved changes are discarded.
  5. Persons - static allocation of persons
  6. Sub-distribution - the current mailinglist functions as master to the connected subsidiary mailinglist.
  7. Verwendet in - the current mailinglist is the subsidiary mailinglist to these mailinglists.
  8. Exclusion - excludes specific persons from the mailinglist.
  9. Excel list - exports a list of the allocated persons to an Excel-file.
  10. CSV-file - exports a list of the allocated persons to a CSV-file.
  11. Hierarchy of allocated persons - a pop up with the hierarchy of the allocated persons is opened. Clicking on the persons' names creates vCards with their data. Clicking on the mailinglist's name forwards to masterdata view of the mailinglist.
  12. Hierarchy person/ company - a pop up with the hierarchy is opened. The first level of the hierarchy contains the companies that the allocated persons belong to and the second level contains the persons.  Clicking on the person forwards to masterdata view of the person.
  13. E-mail - provides the possibility of sending an e-mail to the entire mailinglist
  14. E-mail addresses to clipboard - opens a pop up from which the displayed e-mail addresses can be copied to the clipboard
  15. Task - creates a new task for the mailinglist.
  16. Static copy - creates a static copy of a dynamic mailinglist. The original mailinglist remains unchanged.
  17. Static version - converts the dynamic mailinglist to a static one. The dynamic search is dissolved and the respective persons are allocated statically instead.
  18. Removes static allocations - statically allocated persons are removed from the mailinglist.
  19. Deletes the mailinglist - the mailinglist can only be deleted if there aren't any connections to persons or subsidiary mailinglists.

Allocation of persons

Persons can be allocated to mailinglists either by dynamic allocations which work with queries on attributes of persons and clients or by static allocations to directly assign specific persons to a mailinglist.

Static allocations

Statically allocated persons stay connected to the mailinglist even if their or their companies' attributes might change.

The following steps are necessary to set up a static allocation:

  1. Select a mailinglist
  2. Push the "Persons"-button
  3. Search for the favoured person in the client hierarchy
  4. Click on the person --> the selected person is displayed with a [+]-tag in the person overview of the mailinglist
  5. Save the mailinglist
  6. To check whether the allocation was successful you need to push the "Persons"-button again --> the selected person was added to the mailinglist if he/she is visible in the person overview

Persons can be excluded from the mailinglist via "Exclusion"-button and context menu.

Dynamic allocations

Dynamic allocations use the persons' and companies' attributes to assign persons to mailinglists. Therefore the members of the mailinglists might change due to changes on a person's or company's attributes.

The query filters for persons on the selected attributes. Persons that are statically assigned remain in the list.

Examples:

If in this case a new person was assigned to company "Agentur#1", he/she would be automatically assigned to the mailinglist aswell.

If "Agentur#2" changed its name to "Testclient", the persons of former "Agentur#2" would be removed from the mailinglist.
