Advanced search function

Contact management provides the possibility of easily building queries in order to search for persons.

Creating queries

To build a new query you need to click into the query field.

A condition consists of at least one index, a relation and a value range for each index. The available indices are detailed in the following step.

A relation can be: =, <, >, <=, >=, starts with, contains, between.

A value range consists of one or more values depending on the selected relation:

  • one value for logical operators (=, <, >, <=, >=) and starts with
  • two values separated by comma or space for contains and between
  • an arbitrary amount of values separated by comma or space for between

The following dynamic indices are available on client- resp. person-level:

Rules for conditions

  • conditions can be negated (NOT)
  • conditions can be combined (AND)
  • OR-relations can only be created with between-relations on condition-level (OR-relations between values of one condition are possible but not OR-relations between different conditions)
  • relations can be inverted by selecting NOT
  • for values that don't contain numbers (e.g. an ID) but an amount the search must be inverted
  • if you want to filter by value = 0.
    Example: you want to only search for contacts of clients without appointments (amount of appointments = 0)
    --> Index: "Customer appointment count"
    --> Relation: NOT >
    --> value: 0
    This condition will filter all clients with 0 or less appointments.
  1. Opens the selection to the index. Please note that the selection is only displayed for indices that are connected to masterdata records.
  2. If you set the deactivate-flag, the condition will not be considered by the query.
  3. Select a clause to put the values in relation to each other or to the logical operator.
  4. If you negate the condition by selecting NOT, it will be inverted by the query.
  5. For certain indices the range can be narrowed down on month and year.
  6. Applies the condition to the searchbar.

The search is started by pushing the search-button. The searchresults are displayed in a table under the search bar.

Customizing the result table

Rightclicking the table header opens the column configuration. To remove or add columns you need to click on the column names.  The new configuration is applied to the table once you click on "Submit". Clicking on "Clear" resets the entire configuration and removes the numeration of the column.

Saving queries

On pushing the save-button a new window with the query is opened in masterdata view.

  1. A name for the query needs to be entered.
  2. The conditions that were set in contact managment view are applied to the query-field.
  3. The set global-flag makes the query accessable for all users.
  4. Copies the record.
  5. Saves the record
  1. All global queries and the private ones of the currently logged in user can be opened in a selection.
  2. In the selection you can search for particular queries by their names.
  3. Multiple selections of queries are allowed. Their conditions will be combined.
  4. The selected items can be removed from the selection by clicking on the X.
  5. The selected queries are applied to the searchbar.

The number of selected queries is displayed next to the link and the names of the selected queries are displayed under the searchbar.

Quicksearch

To start the quicksearch you only need to enter the initial letter of each first and last name.

You can also do a quicksearch on every field of the contact. To extend the search you can use wildcards instead of characters, for example if you're not quite sure about the spelling:

_ (underscore) replaces single characters --> m_ll --> mall, mill, mull etc.

* replaces strings --> mi*r --> miller, mister, minister, micrometer, midyear etc.

 

To search only for a particular client, you enter the company name or only parts of it and push the magnifying glass-button to open the search. Next click on the favoured record to apply it to the form.
